Information for ordering, pickup, and return of convocation regalia.
What You Need to Do (Start Here)
1. Order your regalia from: May 6, 2026 at 11:59 pm
2. Pick up your regalia: Starting Wednesday, June 3, 2026
Location: VIU Nanaimo Campus Store (Building 305)
Hours for Non Ceremony Days: 9:00am to 4:00pm
Hours during Ceremony days: 9:00am to 5:30pm
Please have your credit card and student number on hand before beginning your
registration!
3. Attend your Convocation Ceremony: June 8–9, 2026
4. Return regalia immediately after your ceremony - Charges of up to $800
apply for unreturned items.
Missed the order deadline?
Late regalia orders may be accepted subject to availability and include an
additional $55 late fee.

What happens if regalia is not returned?
Unreturned items may result in charges of up to $800, depending on your degree.
Is regalia required for convocation?
Yes. Regalia is required for all students participating in convocation ceremonies.
Is this a rental or a purchase?
Regalia is a rental and must be returned after your ceremony.
Is any deposit required?
No deposit is charged. Rental fees are non-refundable.
When is the Summer 2025 convocation?
Convocation ceremonies will be held on:
• June 9 & 10, 2025: 10 am and 2:30 pm • June 12, 2025: 10 am and 2:30 pm

Where can I find ceremony details?
Please visit www.viu.ca/convocation for ceremony schedules and updates.
Please note: The VIU Graduation/Alumni Fee does not cover the cost of regalia rental.
What payment methods are accepted?
VISA, VISA Debit, MasterCard, and Discover.
Why is my billing address required?
Address Verification Security (AVS) requires the correct billing address associated
with your credit or debit card.
Will I receive a confirmation after ordering?
Yes. You will receive two confirmation emails once your registration is complete.
What are the two confirmation emails?
1. Gaspard email – contains payment information. If a different credit card
was used, that cardholder name may appear.
2. Build-A-Grad email – contains your regalia order details and order
number.
Do I need to bring my confirmation to pickup?
Yes. Please bring your confirmation (printed or on your mobile device) when picking up your regalia.
When can I pick up my regalia?
Starting Wednesday, June 3, 2026 at the VIU Nanaimo Campus Store.

Can someone else pick up my regalia?
Yes. They must bring written authorization from you with required details.
Can I cancel my order?
Cancellations for refund must be received before May 6, 2026 at 11:59 pm.
No refunds after this date.
